Our commitment to protecting personal data
At Kingsway Primary School, we take our responsibility to protect personal information very seriously. We are committed to handling all personal data lawfully, fairly and securely, in line with current legislation and best practice.
This applies to information relating to:
- pupils and families
- staff
- governors and trustees
- visitors, volunteers and external partners

Legal framework
Kingsway Primary and Nursery School complies with:
- the UK General Data Protection Regulation (UK GDPR)
- the Data Protection Act 2018
As part of Inspiring Learners Multi‑Academy Trust, we work within trust‑wide data protection policies and procedures that ensure consistency, accountability and compliance across all schools.
How personal data is used
We collect and process personal data only where there is a lawful basis, such as:
- to support pupils’ education and wellbeing
- to meet statutory duties (for example attendance, safeguarding and assessments)
- to support communication and partnership with families
- to manage employment, governance and operational responsibilities
Personal data is:
- collected for specific, lawful purposes
- kept accurate and up to date
- stored securely
- retained only for as long as necessary

Data Protection Officer (DPO)
Kingsway Primary and Nursery School appoints an independent, external Data Protection Officer (DPO) through Judicium Consulting Limited, specialists in data protection for schools and trusts.
The Data Protection Officer:
- provides expert advice and guidance
- supports compliance with UK GDPR
- carries out audits and reviews
- advises on breaches, data requests and risk assessments
- acts as the point of contact with the Information Commissioner’s Office (ICO), where required

Privacy notices – what parents need to know
Kingsway Primary School publishes privacy notices which explain:
- what personal data we collect
- why we collect it
- how it is used
- who it may be shared with
- how long it is kept
- your rights under data protection law
Separate privacy notices are provided for:
- pupils and parents/carers
- staff
- governors and volunteers
- visitors and contractors
These notices are published in line with DfE model privacy notices and are reviewed regularly.
Privacy and statutory assessments (including KS2 SATs)
As part of statutory assessment arrangements, including Key Stage 2 SATs, schools are required to ensure parents understand how pupil information is used and shared.
Our privacy notices:
- explain how assessment data is processed
- confirm sharing with the Department for Education (DfE) and approved test administrators
- ensure transparency around statutory data returns
